Esignatures, digital forms, file requests, and tracking - all in one place.
Ready for less stress and more organization? Let’s combine e-signatures, file requests, and tracking into a single tool.
Create reusable digital checklists to collect and track:
Easily create different variations of standard checklists, like different roles or states. You’ll also have the option to personalize documents and add or remove requests before sending.
Collect tasks from clients, employees, vendors, and more, all in one place.
Send a secure access link to a branded task portal. They’ll see each specific item in that checklist, with a link to fill digital forms, fill and e-sign PDFs, upload files, and mark tasks completed. They’re able to visually see what is open and closed, and get a printable confirmation pop-up once they are done everything.
Track each open and submitted item without error-prone spreadsheets.
Our real-time dashboard that lets you see the status of each item in a requested or submitted checklist, including the current status (open, closed, returned for updates, ready for review) and the next upcoming event, like a due date or expiration.
This reduces the need for tracking spreadsheets and provides transparency to everyone on your team. Even better, the other party doesn’t need to reach out asking if they’ve given you everything you need, it’s all done right in the system.
An integrated system - documents, e-signatures and tracking, all in one place!
Collecting documents and e-signatures in different systems creates confusion, tracking issues, and lost files. We’ve brought them together for you.
Personalize, fill, and e-sign PDFs with ease.
Customize fields by function, permissions, and required action. Users are warned before proceeding if they miss any fields.
For documents requiring personalization, like an offer letter or independent contractor agreement, you can upload a template once and fill in the blanks each time for the specific recipient. Or, import a document prepared offline and add boxes for the other party to fill and sign before sending.
Have a standard form? You can send generic templates (without any personalization) in seconds.
Before sending a personalized document, our field labels can automatically identify and pull data from a contact’s profile to prefill a document - perfect for offer letters, contracts, and more.
Fields that are not automatically filled can still be set for fill-in-the-blanks pre-filling before you send to another party.
After consenting to the use of e-signatures, the signing party can create a stylized version of their typed name, or draw a signature with their finger or mouse.
Documents can be set for signature before sending, by the other party, and/ or countersigned after the other party has finished. All actions related to each e-signature are included in an immutable audit log that is appended to the completed signed PDF. Each transaction is assigned an encrypted hash (identifying code) that can be verified on our website to ensure the integrity of signed documents.
No PDF? No problem.
Create digital forms that include short and long answer questions, multiple choice, multi-select, and dates. Input data can be saved to a contact’s profile and used to fill PDFs with information from that client, saving lots of copying and pasting.
Excessively long forms, like applications, tax forms, and other financial documents, can be intimidating to clients.
With Boilerplate, you can generate a digital form from a PDF that will only show them the questions you want them to see. Their submissions can then be used to fill a PDF on their behalf.
Eliminate the need for manual tracking, reminders, or follow-ups. View every item by status, and set automated reminders & due dates.
Tracking files and tasks you’ve asked another person to provide can be full-time work. Manually tracking when these files expire creates another source of stress. Boilerplate lets you collect and track files in the same system.
Request specific files within a digital checklist.
The receiver will see the full list of files you requested (think ID’s, professional licenses, and proof of insurance). These can be uploaded from their desktop, or captured with pictures on a mobile device. If an item is unavailable, they can flag it in the list.
If a task requires your users to visit an outside website, you can include a link that will appear as a button for them to follow, like creating a profile in your payroll system or watching a training video.
After marking a task completed, you can require them to upload a confirmation file, like a certificate or clearance.
For file requests and task confirmations that expire, like a license, insurance policy, or clearance, you can ask the other party to enter an expiration date when they are uploading the file.
You’ll be able to review and confirm that date once they submit, and the expiration will display on your visual dashboard to monitor when it needs to be renewed.
Find yourself making the nearly identical requests over and over again? Why not make it a reusable checklist - let the next time you build it be the last time.
Instead of drafting an email list every time you need files and documents, combine it into a reusable, trackable checklist in Boilerplate.
Input a contact’s email address into your Boilerplate contacts and send them a trackable request in a few clicks. You can start with an existing checklist, or create one from scratch.
You’ll have the opportunity to add and remove requests, import documents to be filled and signed, prefill documents, or simply send as is. Before sending, you’ll have an option to add a due date and a custom note.
Setting a due date on a checklist will trigger gentle reminders for the other party to complete your request before a set date. You can set a due date, or leave the item open indefinitely. This saves you from writing out emails and juggling a tracking spreadsheet.
This tracking is particularly valuable when onboarding new employees, ensuring all items are complete before their first day.
Import a list of contacts and then send all of them a bulk request to fill and sign standard forms and upload files. You’ll be able to track when each of them submit and send manual reminders.
We’ll let you know when things get done so you’re not worried, bothering your client, or interrupting teammates.
Instant notifications for completion of tasks - no need for manual outreach.
The Boilerplate system tracks status of requests automatically in the system and includes notification emails for the following:
In the review queue, the admin can review and return items for updates (with a custom note) in just a few clicks.
Boilerplate tracks returned items and sends a link to the other party so they can make updates.
Common reasons for returns are items that are out of date, missing pages, or contain incorrect information.
Boilerplate lets you manage contacts and keep all of their files in one place, not scattered amongst inboxes and cloud folders. In your settings, you can choose how long files and data will remain on the Boilerplate system, with files automatically removed after that time period.
When downloading files, we automatically rename them to avoid confusion around latest versions and multiple files with the same name. When we rename the file, it includes:
Once the fields are labeled, data collected in the Boilerplate system can be exported to fill PDFs. Save time and reduce errors copying and pasting the same data into multiple PDF documents.
Keeping your data and documents secure is a pillar of our platform.
Boilerplate employs a host of security features to keep your data and information secure, including encryption in transit (TLS) and at rest (AES-256), plus firewalls, suspicious activity monitoring and more.
Verify the identity of users through secondary verification methods like SMS/ text message or authenticator apps.
We employ outside penetration testers and participate in routine cyber hygiene scans by the US Department of Homeland Security (note: this is different from an official endorsement). All data is secured and hosted on AWS servers within the United States.
